THE PLANNER PRINT PREP GUIDE

How to print planner inserts on A4 or Letter

Use the planner PDF you already own, place one insert on each side of A4 or Letter paper, and check the pairs before printing. Cut to the chosen insert size afterwards.

Set the full sheet and the finished insert

  1. Choose your PDF in the print workspace. Each source page needs to contain one insert, in reading order.
  2. Set Paper size to the A4 or Letter sheet in your printer.
  3. Choose A5, A6, Half Letter or your own supported Custom trim.
  4. Use Actual size when it fits, or Fit whole design to resize proportionally. Review the displayed scale and blank space.
  5. Inspect every sheet, export and print one test sheet at 100% / Actual size using the same paper and flip edge.

For an A5 source centred at actual size, with no extra binding space or offset, the content starts 31 mm from the left and 43.5 mm from the top of A4. On Letter, it starts 33.95 mm from the left and 34.7 mm from the top. These are PDF geometry values, not measured printer accuracy.

A5 and Half Letter are different sizes. The tool keeps the full source design in proportion; it is not a template editor.

Check the front/back order, including blanks

A seven-page file in duplex produces four sheets: (1,2), (3,4), (5,6), (7,blank). The output has eight sides. A source page that was already blank keeps its place. If source page 1 belongs on the back, choose Is a back to add a blank front before it.

Use the Sheet selector to inspect every pair. Upright preview shows both sides for reading; raw output shows the actual PDF direction. Do not let your PDF reader skip blank pages. In single-sided mode, the same seven-page source produces seven output pages without pairing blanks.

Automatic duplex or two manual passes

For automatic duplex, choose long or short edge in the tool and match it in your printer dialog. Short-edge output backs are rotated 180 degrees; the upright preview turns them back for reading.

For manual duplex, test two sheets marked A/B to learn your printer’s feed direction and stack order. Download Fronts, then Backs. Reverse the back stack only when that tested path requires it. There is no universal instruction to reload paper face up or face down.

Why there may still be white borders

A borderless screen preview does not give your printer a borderless mode. Printable margins depend on hardware, paper and driver settings. Setting the tool’s safe margins to zero cannot remove that limitation.

Putting a smaller insert on standard paper gives you space around the design for cutting. The artwork and any selected trim marks still need to stay within your actual printable area. Turn trim marks off if necessary, and measure a test sheet rather than assuming the paper edge is printable.

When a printer rejects Personal-size or other small paper

Choose A4 or Letter as the full sheet and enter your measured insert size as Custom trim. The exported sheet uses standard paper, which you cut afterwards. This is an alternative paper workflow; it does not enable automatic duplex on a paper size your printer rejects. This release does not supply cutting, punching or binding services.

Check one sheet before the whole stack

Measure the test PDF’s horizontal and vertical 100 mm rulers, check reading order, cut one insert and compare its dimensions with your binder. If the size is correct but the back repeats a stable shift, follow the double-sided printing alignment guide.

iPad/iPhone, macOS and physical printer paths remain unverified for this release. The tool prepares a downloadable PDF and cannot control AirPrint or driver settings.
